Logging In and Accounts

You can log in to the web application by navigating to https://AI-Public-pro.web.app within a modern browser.

You will then arrive at the login screen.

On the right side is an input where you can choose the environment. Each AI-Public customer has their own environment. There is also an Admin environment that is only available to AI-Public admins.

Login Options

Different login methods can be set up for each business environment:

  • Log in with Google Business Account (Google Workspace)
  • Log in with Microsoft Business Account (Microsoft 365)
  • Log in with email and password

At least 1 login method must (of course) be set up. We advise against using the email and password method, as this is less secure than logging in via Google or Microsoft.

AI-Public Login Options

Login Procedure with Business Account

The standard method is logging in with a Google or Microsoft business account. This proceeds as follows:

  • The user clicks the button (Google or Microsoft)
  • A pop-up appears where the user logs in via Google or Microsoft
  • After logging in, the pop-up closes and the login procedure within AI-Public starts

The procedure that follows:

  • It is checked whether an account already exists on AI-Public for the respective user.
  • If no account exists? Then the email address is verified.
  • If this email address is not on the list of authorized employees? Then the request is rejected.
  • If an account already exists? Then it is checked whether the employee is set to active. Otherwise, the request is rejected.

Creating Accounts

Accounts are automatically created after a successful first login attempt, provided the user's email address is included in the list of authorized employees. During account creation, roles/rights (tokens) are added on the server:

  • employee (yes/no): is set to "yes" if the email address matches an email address on the list of authorized employees.
  • admin (yes/no): is initially set to "no" and can later be assigned by an administrator.
  • super admin (yes/no): is initially set to "no" and is reserved for AI-Public administrators.

These tokens are linked to permissions. Permissions are set by the administrator of your business environment. In this, the administrator determines which rights are assigned to each role.

Email and Password Accounts

Email and password accounts can only be created by administrators of the AI-Public environment. We advise against using this login method due to:

  • Security: email and password accounts are inherently less secure. To make this safer, two-factor authentication (2FA) would be necessary, which is currently not standard supported by AI-Public for this method.
  • User-friendliness: it is not pleasant for employees to have to remember another email/password combination. It is also cumbersome for administrators to recover forgotten passwords.

Email and password accounts are thus a last option if other login methods (Google/Microsoft SSO) are not possible for your organization.
